1. Information We Collect
We collect information you provide directly to us when you create an account or use our document scanning services.
- Account Information: Email address, display name, and authentication data when you sign in with Apple
- Scanned Documents: Documents you scan stay on your device or in the folder you choose. We do not receive them, their text or their AI analysis
- Usage Data: Counters such as the number of documents you have scanned
2. How We Process Your Documents
Your document processing follows a privacy-conscious pipeline:
On-Device Processing
Text extraction (OCR) is performed entirely on your device using Apple Vision framework. No document images are sent to external servers for OCR.
AI Analysis
AI features run on your device on iPhones that support Apple Intelligence. If you add your own Anthropic API key, the extracted text of a document is sent directly from your device to Anthropic under your own Anthropic account, and Anthropic's terms apply to that text. Document images are not sent.
Local Storage
Scanned documents are stored as compressed PDFs on your device. If you choose an export folder, such as one in iCloud Drive, the app also saves PDF and Markdown files there, and that storage provider's terms apply. We do not upload documents or thumbnails to our servers.
3. Cookies and Tracking Technologies
This website does not set cookies and does not use analytics or third-party tracking. Cloudflare hosts the website and processes technical data such as IP addresses to deliver and protect it.
4. Legal Basis for Processing
Under Swiss nFADP and EU GDPR, we process your personal data based on:
- Contract Performance: Processing necessary to provide the document scanning and AI analysis services you requested
- Consent: For optional features, such as sending text to Anthropic with your own key
- Legitimate Interest: For security monitoring, fraud prevention, and service improvement
- Legal Obligation: When required to comply with applicable laws
5. International Data Transfers
We use service providers that may process data outside Switzerland and the EU. Our subprocessors include:

6. How We Use Your Information
We use the information we collect to:
- Provide your account and the app's features
- Send service-related notifications and support communications
- Monitor and improve app performance and reliability
- Detect, prevent, and address security issues
7. Information Sharing
We do not sell, trade, or rent your personal information to third parties. We may share your information only:
- With our subprocessors listed above, solely to provide the service
- When required by law, regulation, or legal process
- To protect our rights, property, or safety, or that of our users
- In connection with a merger, acquisition, or sale of assets (with prior notice)
8. Data Security
We implement appropriate technical and organizational measures to protect your personal information:
- Documents stored locally on your device with iOS-level encryption
- All network communication over HTTPS/TLS
- Authentication tokens stored securely in iOS Keychain
- Secure authentication via Clerk (Sign in with Apple)
- On-device OCR processing (document images never leave your device)
9. Your Rights
Under Swiss nFADP and EU GDPR, you have the following rights:
- Right of Access: Request a copy of the personal data we hold about you
- Right to Rectification: Request correction of inaccurate personal data
- Right to Erasure: Request deletion of your personal data
- Right to Restriction: Request restriction of processing of your data
- Right to Data Portability: Receive your data in a structured, machine-readable format
- Right to Object: Object to processing based on legitimate interests
- Right to Withdraw Consent: Withdraw consent at any time for consent-based processing

10. Data Retention
We retain your personal data only as long as necessary:
- Account data: Until you delete your account
- Local documents: Stored on your device until you delete them
- Usage counters: Until you delete your account
- Support communications: 3 years
11. Children's Privacy
Documintz is not intended for children under 13 years of age. We do not knowingly collect personal information from children under 13. If we discover that a child under 13 has provided us with personal information, we will delete it promptly.
